The Office Manager (Estonia) owns the day-to-day office experience for the Estonian team and ensures the office is not just a physical space, but a well-run, supportive, and efficient environment where people can focus on building world-class technology.

This role is the central point of ownership for everything related to the office: supplies, vendors, travel, events, and daily operational questions. You will work closely with Office Managers in other countries to maintain consistent standards, while adapting locally where needed. You will also support the Brand and Marketing teams with logistics for industry events and external presence.

This is a hands-on role for someone who takes pride in order, clarity, and making things work smoothly behind the scenes.

Сore responsibilities

Key Responsibilities:

  • Own the day-to-day operations of the Estonia office, acting as the go-to person for all office-related matters.

  • Ensure the office is fully equipped, functional, and welcoming: supplies, equipment, meeting rooms, shared spaces, and general readiness.

  • Coordinate with suppliers and service providers, including correspondence, contracts, and issue resolution.

  • Support travel logistics for the Estonian team, including bookings and coordination.

  • Plan and execute internal office events, team gatherings, and local initiatives.

  • Partner closely with Office Managers in Ukraine and other locations to align on standards, processes, and best practices.

  • Support the Brand and Marketing teams with logistics and coordination for industry events, conferences, and external engagements.

  • Maintain clear documentation and simple processes for office-related topics so things stay easy and transparent.

Key Competencies & Skills:

  • Experience in an Office Manager, Workplace Coordinator, or similar role—ideally in a tech or fast-growing company.

  • Strong organisational skills and attention to detail.

  • Practical, solution-oriented mindset; comfortable handling many small but important tasks.

  • Strong communication skills and a service-oriented attitude.

  • Ability to work independently while aligning with global standards.

  • Comfort coordinating with multiple stakeholders (employees, suppliers, brand team, global peers).

  • Calm, reliable presence—someone people trust to “just handle it.”

Languages Needed:

  • English (Fluent)

  • Estonian (Fluent)
