Executive Operations Partner to the CEO

We’re looking for an Executive Operations Partner — someone who can be the CEO’s extension, sponge, and filter. Your job is to absorb complexity, cut through the noise, and make sure the CEO’s time and focus are spent where they create the most leverage. This is not just an assistant role — but it does include assistant work, because part of multiplying the CEO’s time means taking over day-to-day communications, paperwork, and admin load so he doesn’t have to.
Because we operate in defense technology, this role demands more than capability. It requires judgment, discretion, and a strong moral compass. You will handle sensitive information, represent the CEO in select contexts, and take responsibility for communication streams that are critical to the business.
The ideal candidate is based in Estonia or Germany, but must be ready to travel frequently to work closely with the CEO across Europe.
Key Responsibilities
Be the CEO’s extension: anticipate needs, prepare him for key discussions, and step in where needed.
Run the loop: ensure meetings happen, decisions are followed through, and progress doesn’t stall.
Operational coordination: manage scheduling, investor calls, and travel logistics with precision.
Communication support: manage parts of the CEO’s inbox, draft and answer emails, prepare and send documents, and ensure critical information flows smoothly.
Project support: track milestones, flag risks, and maintain alignment across teams and geographies.
Information funnel: filter inputs from across the company and surface what matters most.
Strategic support: draft decks, prep briefings, and back the CEO in investor and partner conversations.
Own what’s yours: lead ad hoc projects (finance, legal, operations) where clear direction exists.
Travel: accompany the CEO when needed to ensure seamless execution of high-priority meetings and events.
Qualifications
2–5 years of experience in consulting, venture capital, finance, or operations — ideally in a high-growth environment.
Fluent in Ukrainian and English (German or Estonian a plus).
Strong digital literacy (Notion, Slack, AI tools, G-Suite, Jira).
Excellent judgment and discretion; trusted with sensitive and confidential matters.
Strong moral compass — integrity inside and outside of work.
Able to switch between high-level strategic tasks and hands-on assistant work without ego.
Ambitious, sharp, and growth-oriented — ready to learn fast and take on more responsibility.
Comfortable with frequent travel to work closely with the CEO.
